Qualified exhibitors or sponsors must have submitted a contract for exhibit space or sponsorship prior to requesting hotel rooms. Room block requests will be accepted between November 2 - November 20, 2026. After this date, AIST will review your request and, if approved, a room block confirmation letter will be sent from Orchid.Events by December 7, 2026. Hotel and room type preferences will be honored to the extent accommodations are available. If we are unable to secure your rooms at your requested hotel(s), your room block will be confirmed at another available hotel(s). Room Blocks may be split based on hotel availability and room block size. Please Note the Following: Terms and Conditions for Booking a Room Block: Once your room block has been confirmed, you will have until December 15, 2026, to book at least one room within the block and provide a credit card to secure potential charges for unused room nights. If a card is not provided by December 15, 2026, your room block will be released. You may reduce your room block by up to 10% of the original contracted room nights without penalty through February 2, 2027. Beginning February 3, 2027, you are responsible for all remaining room nights in your block. A complete rooming list is due to Orchid Events by February 23, 2027. At the end of AISTech 2027 (May 3-5, 2027), if your group has not used 100% of your room nights, you will be billed for any unused rooms based on the group rate, with payment charged to the card on file from your initial booking. If the entire block is cancelled, full damages equal to 100% of the contracted block will apply. Room List Due February 23, 2027: Your group has until February 2, 2027, to reduce your contracted room nights by up to 10% without penalty. Beginning February 3, 2027, you are responsible for all remaining rooms in your block. A complete rooming list is due to Orchid Events by February 23, 2027. Unused rooms, or rooms without individual names, will be released and you will be responsible for paying for one night’s room and tax per room. Cancellations of reservations will result in one night’s room and tax fee per room canceled. Hotel rates shown online include the $2.50 per night City Destination Fee. Individual acknowledgement emails will show the base rate plus the current tax rate and nightly city fee. Taxes and fess are subject to change without notice. The rates shown here are for single/double occupancy only; triple and quad rates may be higher.
